Getting Started with Clinika OS

Running a clinic means juggling appointments, managing staff schedules, and keeping patients happy — all at once. Clinika OS was designed to take the complexity out of clinic management so you can focus on what matters most: delivering excellent care. Whether you run a physiotherapy practice, a dental clinic, or a wellness centre, getting started takes just a few minutes. This guide walks you through every step.

Create Your Clinic Account

Head over to the Clinika OS website and click Get Started. You will be asked for your name, email address, and a secure password. Once you confirm your email, you will be taken straight into your clinic dashboard.

From there, fill in your clinic profile. Add your clinic name, address, phone number, and a brief description of the services you offer. This information will appear on your public booking page, so take a moment to make it accurate and welcoming. You can also upload your clinic logo to give your page a professional look.

The entire sign-up process takes less than two minutes, and there is no credit card required to explore the platform.

Add Your Services

Next, navigate to the Services section in your dashboard. Here you can define every treatment or consultation your clinic provides. For each service, you will set a name, a short description, the duration, and the price.

For example, a physiotherapy clinic might add services like "Initial Assessment (60 min)", "Follow-Up Session (30 min)", and "Sports Massage (45 min)". A dental practice could list "Routine Check-Up", "Teeth Cleaning", or "Consultation".

You can also organise services into categories so patients can easily find what they need when booking online. If a service should only be performed by certain professionals, you can assign it to specific team members in the next step.

Set Up Your Team

Go to the Team section and add each professional who works at your clinic. For every team member, you will enter their name, role, and the services they are qualified to offer.

The most important part is defining their availability. Clinika OS lets you set working hours for each day of the week, including break times and lunch periods. If a professional only works on certain days, you can configure that too. The scheduling system will automatically prevent double-bookings and only show available slots to patients.

Each team member can also receive their own login credentials, giving them access to their personal schedule and upcoming appointments without seeing the entire clinic dashboard.

Share Your Booking Page

Once your services and team are configured, your clinic receives a unique booking page URL. This is the link patients will use to book appointments online at any time of day.

You can share this link in several ways:

• Website: Embed it on your clinic website or add a "Book Now" button that links directly to it.
• Social media: Post it on your Instagram, Facebook, or LinkedIn profiles so followers can book with a single tap.
• WhatsApp and email: Send the link directly to patients in your existing communication channels.
• Google Business Profile: Add it to your Google listing so people searching for clinics in your area can book immediately.

The booking page is mobile-friendly, works on all devices, and reflects your clinic branding with your logo and colours.

Start Receiving Bookings

With everything set up, you are ready to receive your first booking. When a patient selects a service, picks a professional, and chooses an available time slot, the appointment is confirmed instantly.

You will see all bookings in your Dashboard, which provides a clear calendar view of the day, week, or month ahead. Each appointment shows the patient name, the service booked, the assigned professional, and the time.

Both you and the patient receive confirmation notifications. Clinika OS also sends automated reminders before the appointment to reduce no-shows — a feature that clinics consistently report as one of the most valuable.

From here, you can manage cancellations, reschedule appointments, and track your clinic's performance over time. The dashboard gives you a real-time overview of your practice so nothing falls through the cracks.
